Why is my PDF so large?

A three-page contract that weighs 40MB is not carrying three pages of information — it is carrying photographs of three pages. File size in PDFs is almost never about the text: text is measured in kilobytes. It is about images, and about how they got into the file.

This guide walks through the real causes in order of likelihood — scan resolution, embedded photos, screenshots pasted at full size, duplicated fonts — and the specific fix for each one. How to

  1. Open the Compress tool. In your browser — the oversized file is processed locally, never uploaded.

Cause 1: scan resolution (the usual suspect)

Phone and office scanners default to 300–600 DPI in full color. A single A4 page at 600 DPI color is a ~35-megapixel image. For reading on screen, 150 DPI is plenty; for archiving text documents, grayscale halves the size again. Fix: run the file through Compress — it re-encodes the scan images at document resolution. A 40MB scan typically lands at 2–4MB, or use a target size if a portal gives you a hard cap.

Cause 2: photos embedded at camera size

A report with five phone photos embeds five 12-megapixel originals — even if each is displayed at the size of a postage stamp. The page only shows a small version, but the file carries the full one. Fix: compression re-encodes images at the size they are actually displayed, which is why photo-heavy reports shrink by 80–90%.

Cause 3: screenshots and pasted images

Screenshots are PNG — lossless and large, especially on Retina/4K displays where one full-screen shot is a 4000-pixel-wide image. A slide deck exported with twenty pasted screenshots balloons fast. The compression pass converts these to efficiently encoded images with no visible difference at reading size.

Cause 4: fonts, attachments and history

Less common but real: full font families embedded by office suites (instead of subsets), files attached inside the PDF, and unused objects left behind by editors that append instead of rewriting. Re-saving the document through an editor that rewrites the file — which is what happens when you export from Haven PDF — drops the dead weight.

Quick diagnosis: divide file size by page count. Over ~1MB per page almost always means images (causes 1–3). A small page count with huge size and few visible images suggests attachments or pasted originals. Either way the treatment starts the same: one compression pass, then check the result.

Frequently asked questions

Will compressing make the text blurry?
Real text (typed, not scanned) is untouched by image compression — it stays vector-sharp. In scans, the text is part of the image; medium levels keep it clearly readable.
My PDF is all text and still huge — why?
Likely embedded full fonts, attachments, or editor leftovers. Re-exporting the file through an editor that rewrites it (like Haven PDF) usually fixes this class of bloat.
Is there a safe maximum compression?
Use the preview: compress, look at a dense page at 100%, and only go stronger if it is still comfortably readable. With a target size, the tool picks the best quality that fits automatically.
